Navigating the Portal in eMAR 

This screen contains items required to navigate the Portal in eMAR.

Portal tab

Shows the tiles for a quick view of the number of Overdue Meds, Undocumented PRN Follow-Ups, Pending orders to be confirmed or reviewed, and Uncleared Order Alerts. For Integrated Medication Management (IMM), you also see Supplies to Receive and Unmatched Residents.

Set as default view link

Click Set as default view to access the Portal on login.

Click Unset as default view to remove this setting.

3.

Shift Summary filters

Set filters to see information for a different Administration Record, Shift, or Assignment. The values for Overdue Meds and the Undocumented PRN Follow-ups are based on the filters selected.

The filters in the Portal and the filters in other administration records work together. For example, changing the filter in the Portal also changes the filter when you navigate to the MAR and the reverse is also true.

Shift Summary tiles

Overdue Meds - Shows the number of overdue meds, based on set filters. Click the tile to see the filtered list of residents in the MAR.

Undocumented PRN Follow-Ups - Shows the number of undocumented PRN Follow-Ups, based on set filters. Click the tile to see the filtered list of residents in the MAR.

Facility Summary tiles

Pending - Shows the number of orders pending confirmation and pending clinical review, if enabled. Click the tile to view the orders in pending status. This is a view only page.

Uncleared Order Alerts - Shows the number of Uncleared Order Alerts in the last 72 hours. Click the tile to view and clear the Order Alerts.

Orders in Queue - Shows the number of orders in the queue. Click the tile to view the orders. This is a view only page.

To Be Ordered Shows the number of orders waiting to be communicated to the pharmacy. Click the tile to view orders that must be communicated to the pharmacy.

On Order Shows the number of orders that were ordered and are waiting to be received from the pharmacy. Click the tile to view and receive orders from the pharmacy.

Undocumented PRN - Shows the number of Undocumented PRN orders more than 30 days old. Click the tile to view the orders. This is a view only page.

Discharged Residents - Shows the number of discharged residents that have active orders. Click the tile to view the list of discharged residents with active orders. This is a view only page.

Facility Summary tiles (IMM Only)

Uncleared Pharmacy Alerts - Shows the number of Uncleared Pharmacy Alerts in the last 72 hours. Click the tile to view and clear the Alerts.

Supplies to Receive - Shows the number of supplies to receive in the last 72 hours. Click the tile to navigate to Pharmacy Orders > Waiting To Be Received.

Unmatched Residents - Shows the number of Unmatched Residents. Click the tile to navigate to Pharmacy Orders> Inbound Pharmacy Orders - Resident Match.

Navigating the eMAR 

This screen contains items required to navigate the eMAR.

Click to change the shift, assignment, or date for which you are viewing residents in eMAR.

Click to change your password.

Click to log out of eMAR.

Resident Tile Filters

Click to filter resident tiles by number of residents with

  • Overdue - number of residents with overdue orders. Shows residents with scheduled orders where configured administration window has passed.
  • Now - number of residents with orders due now. Shows residents with orders due now, based on order schedule and configured administration window.
  • Shift - number of residents with orders due this shift. Shows all residents with orders due during the shift.
  • PRN - number of residents with PRN orders this shift. Shows only residents with PRN orders.
  • Reminders - number of residents that have reminders set for this shift. Shows only residents with reminders set.
  • Advanced - number of residents based on selected Advanced filters. Shows only residents that meet the Advanced Filter requirements.

Click to enter resident administration record. Shows resident name, medical record number location and photo if used.

Sort By

Navigating the Resident's Chart in eMAR Quick Reference Guide

This screen contains items required to navigate the resident's chart in eMAR.

  • Administration History Report - generates a list of orders and their most recent administration history details.

Using Advanced Filters in eMAR

Advanced filters in eMAR sort and locate orders by hour of administration, type of medications, and supplementary documentation requirements. For example, medications that require a blood pressure before administration. 

Advanced filters can improve the efficiency of medication administration and documentation by allowing you to quickly prioritize your residents and their orders. 

Procedure

  1. eMAR > Resident list > click Advanced.

Note

The Advanced filter is also available in the resident chart. 

  1. Select filter(s). You can select multiple filters from more than 1 tab to narrow your search further. For example, when a blood sugar is required for Insulin administration.
  2. Click Refresh.

After clicking refresh, an updated list appears based on your filters. 

  1. Complete documentation as required. Click Shift to return to full resident list.

Options

Below is a list of the options available to you.

  • Hour of Administration - Select option(s).
  • Supplementary Documentation - Select option(s).  
    • o   Filter by Weights/Vitals: - For example, blood sugar, blood pressure, or weight.
    • o   Filter by Standard Prompts: - For example, CBC or PT/INR. 

Note

You cannot filter for Custom Prompts. 

  • Other - Select option(s). 
    • o   Filter by Type of Medication: - Select option(s). For example, controlled drugs or Insulin.
    • o   Filter by Category: - Select option(s). For example, Pharmacy, Supplement, or Other.

Documenting Scheduled Orders in eMAR

You can electronically document administration of scheduled medications and treatments in eMAR

Note

Medications that must be administered during shift change appear on both shifts. For example, medications scheduled at 1500 appear on both the day shift (0700 - 1500) and the evening shift (1500 - 2300). Color coding is consistent. For example, after the medication is administered, it is green on both shifts.

Procedure

  1. eMAR > Resident list.

Note

Before documenting, check the day, shift, and location. If this information is incorrect, click Edit Assignment Date.

  1. Select filters, if applicable.
  2. Select resident.
  3. Do one of the following:
    • Click Y for the medication(s) you are administering. 
    • Scan the medication barcode(s).

Note

A window opens if a medication requires Supplementary Documentation before administration. 

Note

If Barcode Administration Scanning is enabled, medications received from pharmacy must be properly linked before you can scan in eMAR. 

  1. Click the gold padlock icon and administer medications.

Caution

Hiding the screen does not provide as much protection as logging out. Anyone who knows that clicking the word hidden opens the screen can see the chart you are working on without entering login information. It is strongly recommended that you select the proper action (hiding or logging out) for your situation.

  1. Click the word Hidden to show the screen.

Note

If a medication was not administered or only partially administered:

Click N > select a Chart Code in Administration Details > complete a progress note, if required > click Record

  1. Click Save.

Options

Below is a list of the options available to you.

  • Administration Details - Select option. You can document administered medications, including partial administrations, or select a reason the medication was not administered.  
  • Supplementary Documentation - Select option. 
    • o   Weights/Vitals and Standard Prompts - You can click Use Last Recorded Value to use the most recently documented information or click Record New Entry to add a new value. This information flows to and from the resident's chart as applicable.
    • o   Administration Site of Location - Type to search for site location > Select option > click Add Location. Additional sites can be added. For example, an ointment applied to both hands and feet.

  • o   Body Diagrams - For Neupro or Exelon patch, select the site location from the body diagram. Only one site can be selected. 

Sites used recently are yellow. If you select a recently used site, last administration information appears.

  • Progress Notes - Type information. eMAR progress notes flow to the Progress Notes tab in the resident's chart.

 

Setting Reminders in eMAR

In eMAR, you can set reminders when documenting medications that are not successfully administered. Setting a reminder allows you to set a time to be reminded to try to administer medications again. Reminders can be set for 1 to 60 minutes or hours and can be carried over from shift to shift. 

When a reminder is set, the medication can be accessed from the Reminder filter. Color coding of the Reminder filter is consistent, for example, red indicates the reminder time expired. 

Note

To prevent duplicate administration, reminders can only be set until the next scheduled administration. 

Procedure

  1. eMAR > Resident list.
  2. Select resident.
  3. Click N on medication tile.
  4. Select applicable Chart Code. For example, Drug Refused.

Note

Complete the progress note if required.

  1. Click Set Administration Reminder.
  2. Select the number (1-60) and minutes or hours.
  3. Click Record.
  4. Click Save.
  5. To clear the reminder, do one of the following: 
    • Click Y to document if administration was successful. New chart code of Administered replaces previous chart code. 
    • Click N to document if another chart code needs to be documented. New chart code replaces previous chart code.

Click Clear to clear the reminder and leave the original chart code. Clears the reminder,
